Duties include, but are not limited to:
- Open the file and prepare documentation pursuant to NHA procedures.
- Send Welcome Letter and make Welcome Call.
- Draft, print and proof trust documents, charts, and other estate planning documents.
- Review and proofread all documents for accuracy after they are prepared.
- Review estate plan with client during phone final, including following up on missing asset information and confirming final appointment and balance of fees.
- Assemble portfolio binders, including printing and copying and any other task required to make delivery of the estate plan to the client.
- Review estate plan with clients at final signing meeting. Collect final fees and conduct signing ceremony, which includes arranging for witnesses and notarizing the documents. Performance target: complete 1-2 final signing meetings per day, depending on the complexity of the matter and the number of other duties the individual is directly responsible for performing. Note: When more administrative work can be delegated to assistants, more signing meetings may be conducted up to a maximum of 3-4 per day.
- Make appropriate database entries as each stage is completed and each contact with client is made. “If it’s not in the database notepad, it didn’t happen.”
- Have client complete evaluation form at conclusion of final signing meeting.
