We’re recruiting exclusively for an Operations Coordinator to join our expanding client based in Loughborough on a full-time, permanent basis. Our client works in the events production industry, working in high-pressure and time critical environments.
Salary: £28,000 - £32,000 (depending on experience).
Hours: Core office hours Monday – Friday but flexibility is required during peak season for early morning and evening work.
Peak season: May – August.
The Role:
As an Operations Coordinator, you will manage the day-to-day recruitment, onboarding, and deployment of crews across multiple live projects. You will be responsible for ensuring that the right people are in the right place, at the right time — even when plans change at short notice.
This role is ideal for someone with a background in industrial, logistics, or temporary recruitment who wants to move into a long-term in-house position.
Key Responsibilities:
Recruitment & Onboarding
- Recruit, screen, and onboard new crew members
- Manage right-to-work checks, documentation, and compliance
- Maintain accurate crew records and availability data
- Build and manage a strong pipeline of reliable workers
Resourcing & Scheduling
- Allocate crew to jobs based on skills, availability, and client requirements
- Manage short notice cover and contingency planning
- Handle cancellations, no-shows, and last-minute changes
- Coordinate passes, inductions, and site access
Crew Management
- Act as first point of contact for crew
- Maintain engagement and attendance standards
- Deal confidently with performance or reliability issues
- Build long-term relationships with core workers
Administration & Systems
- Use booking and scheduling systems (OnSinch/Xero/Excel)
- Support payroll and invoicing processes
- Ensure accurate job and timesheet data
- Produce basic reports on fill rates, availability, and performance
Essential Requirements:
- Proven experience managing high-volume staffing
- Strong organisational and communication skills
- Comfortable working under pressure and making fast decisions
- Good IT skills (Excel, CRM/booking systems, email, WhatsApp)
Desirable
- Experience in events, production, or live environments
- Knowledge of PAYE/temp worker compliance
- Experience managing large casual workforces
