Hours: Monday – Friday ~ 8am – 4pm
We are seeking a highly organised and detail-oriented Operational Services Administrator to provide exceptional customer and administrative support to our environmental operations with the local council.
The Operational Services Administrator will handle various administrative duties such as raising purchase orders, compiling work schedules, monitoring budget sheets, ensuring timely payment of invoices, and serving as the point of contact for customers.
The successful candidate will be responsible for a range of tasks including monitoring annual leave and sickness records, booking return to work interviews, creating worksheets on the M3 system, and acting as a note taker in confidential meetings.
The ideal candidate will possess strong administrative skills, be computer literate with experience in Google Mail, Docs, and Sheets, and have excellent communication skills. This individual must also be a team player and able to effectively collaborate with service managers, supervisors, and crew members.
Responsibilities:
- Provide exceptional customer and administrative support to all operations & projects.
- Monitor annual leave and sickness records, ensuring accurate and up-to-date information
- Book return to work interviews and collate relevant information for further action
- Create worksheets on the M3 system to assist in operational processes
- Act as a note taker in confidential meetings, sickness reviews, and return to work interviews
- Raise purchase orders and ensure proper documentation and approval processes are followed
- Serve as the primary point of contact for customers, addressing inquiries and resolving issues promptly in a timely manner and professionally
- Compile work schedules based on operational requirements and communicate them effectively to the team
- Monitor monthly budget sheets to ensure adherence to financial targets and report any discrepancies
- Ensure timely payment of invoices and maintain accurate records of financial transactions
- Liaise with service managers, supervisors, and crew members on a daily basis to coordinate operational activities
- Utilise strong administrative skills to maintain organised records, files, and documentation
- Demonstrate proficiency in computer applications, particularly Google Mail, Docs, and Sheets
- Possess excellent communication skills, both written and verbal, to effectively interact with internal and external stakeholders
- Foster a collaborative and supportive team environment, promoting open communication and cooperation
Qualifications:
- Proven experience in providing administrative support in a fast-paced environment
- Strong organisational skills with the ability to multitask and prioritise effectively
- Proficiency in computer applications, including Google Mail, Docs, and Sheets
- Excellent communication skills, both written and verbal
