Our client is hiring for a reputed client and is looking for an experienced Personal Assistant to support two Deputy Directors who work as a jobshare-ensuring diaries, inboxes and meetings are always in safe hands.


What you'll be doing:
• Manage day-to-day diary and inboxes for two Deputy Directors, resolving clashes and prioritising appointments in line with business needs
• Coordinate meetings end-to-end: scheduling, attendee coordination, room booking, hospitality arrangements, agendas, papers and circulation
• Draft and manage correspondence on behalf of the Deputy Directors where appropriate
• Monitor inboxes for urgent or sensitive matters and take the right action/escalate when required
• Provide note-taking and minute support, ensuring actions and decisions are accurately recorded and circulated
• Support divisional events (including team away days and engagement activities), and assist with visitor escorting and in-person meeting logistics
• Contribute to inbox rota coverage for New Proceedings and Treasury Solicitor inboxes, including triage/allocation and maintaining accurate records
• Support reporting and document management, including weekly/monthly reports and maintaining compliant time recording
• Assist with travel and accommodation bookings, plus wider team logistics for training/away days and virtual or in-person meetings
• Help with onboarding/induction administration and off-boarding coordination for new joiners/leavers
• Provide bonus award and ad hoc admin support for time recording and invoice approvals


What you'll bring:
• Strong diary and inbox management experience, with a calm, proactive approach to competing priorities
• Excellent organisation skills with attention to detail-especially when coordinating meetings and managing documentation
• Confidence in drafting correspondence and handling sensitive/urgent communications appropriately
• A collaborative mindset-comfortable working across teams and on a jobshare basis
• Solid record-keeping habits to support reporting, returns and accurate administrative processes
• Professional communication skills for internal and external stakeholders, including visitors and meeting attendees
