Senior Administrative Assistant

W2 Contract-to-Hire

Salary Range: $68,600 - $79,000 per year

Location: Newark, CA - Onsite Role

Job Summary:

We are seeking a motivated senior administrative assistant to primarily support our Research and Development Team and provide additional administrative support as needed. Including but not limited to calendaring, travel arrangements (international and domestic), coordination of meetings, and facilitating timely responses to action items. This position is expected to work with the administrative team as well as Executive members with a professional and team-oriented approach, working together for the benefit of the company.

Duties and Responsibilities:

  • Manage complex calendars seamlessly.
  • Provide event coordination and scheduling both internationally and domestically.
  • Scheduling of monthly scientific education series for the benefit of the staff.
  • Coordinate the approval and execution of contracts, non-disclosure agreements, and other documents.
  • Set up internal and external conference calls using audio and web-based meeting technologies.
  • Work with the travel vendor to book travel, prepare detailed itineraries, and process expense reports in Expensify in a timely manner.
  • Submit purchase requisitions in Coupa.
  • Maintain & full management of ordering, restocking, breakroom, and office supplies. Must be able to lift up to 20lbs.
  • Prepare, format, and edit slide deck presentations as needed.
  • Perform other duties and special projects as assigned.

Requirements and Qualifications:

  • BA/BS preferred.
  • 5 - 8 years of experience providing high-quality team administrative support and supporting corporate executives.
  • Life Science experience
  • Advanced MS Office skills. Preference given to candidates with very strong PowerPoint skills. Experience with Expensify, Zoom, and Teams is required.
  • Ability to multitask and shift priorities quickly with an outstanding attention to detail.
  • Excellent written and verbal communication skills, including grammar, spelling, and editing.
  • Proficient in time management and organization.
  • Strong interpersonal skills and ability to work well independently and collaboratively.
  • Must be a team player, and a high degree of professionalism is mandatory.
  • Willingness to acquire new competencies and accept new challenges.
  • Ability to handle sensitive information discreetly and confidentially.
