Shipping and Receiving (Logistics) Supervisor
Direct Hire Full-Time Role
Location: Santa Clara, CA - Onsite Role
Job Summary:
Assist General Counsel by investigating facts, preparing legal documents, or researching legal precedent. Conduct research to assist with legal proceedings, to formulate a defense, or to initiate a legal action.
Duties and Responsibilities:
- Supervise and oversee Shipping, Receiving, and Inventory staff to ensure goals and daily operational needs are met.
- Oversee the preparation of outgoing shipments, the receiving of incoming shipments, and all associated shipping functions.
- Follow Standard Operating Procedures (SOPs) and document shipping processes in accordance with good documentation practices.
- Provide feedback to management regarding work-related issues and employee performance.
- Train or appropriately delegate training for new team members.
- Manage daily team workflow, assign tasks, delegate responsibilities, set deadlines, and coordinate completion of activities.
- Supervise Shipping, Receiving, and Inventory staff by providing direction, motivation, discipline, feedback, evaluations, and training.
- Serve as the primary Shipping contact for communication and coordination with Customer Service, Packaging, Production, Purchasing, Quality Control (QC), Inventory, Regulatory, and Finance regarding product, shipping, receiving, inventory, and customer account issues.
- Verify the accuracy of all outgoing shipments.
- Ensure professional, accurate, and timely communication with customers about shipment confirmations and details.
- Oversee all outgoing shipments—pick, package, verify quantities and destinations, and arrange pick-ups/drop-offs as needed.
- Use QuickBooks and guide team members in processing orders and generating shipping documentation.
- Manage priority, complex, custom, international, and special shipment orders.
- Maintain minimum levels of finished goods inventory and ensure on-time customer deliveries.
- Coordinate fulfillment of outgoing orders and backorders.
- Oversee the organization, cleanliness, and functionality of the Shipping room, Finished Goods cold room, receiving areas, and supply storage.
- Ensure adequate stock of shipping and packaging supplies.
- Assist the Packaging Department as needed, including scheduling Shipping Team members for cross-training and packaging activities (e.g., labeling, filing, packaging finished goods).
- Resolve project- or task-specific issues or conflicts.
- Create, update, and maintain procedures and protocols governing all shipping-related operations.
- Lead and participate in shipping, receiving, and inventory audits.
Requirements and Qualifications:
- Bachelor’s degree or 3+ years of shipping experience (or equivalent).
- Preferred: 1–2+ years of supervisory or management experience.
- Preferred: experience with FedEx and UPS online systems.
- Preferred: experience with QuickBooks.
- Proficient in Microsoft Office (Word, Excel), Google Workspace (Gmail, Sheets, Docs), and Adobe Acrobat.
- Strong attention to detail and excellent record-keeping skills.
- Ability to work under multiple deadlines.
- Excellent communication and writing skills.
- Strong critical thinking, analytical, and troubleshooting skills.
- Demonstrated ability to lead and collaborate effectively with a team.
- Must have a personal vehicle, a valid CA driver’s license, and a willingness to complete drop-offs at FedEx/UPS for emergency or missed pick-ups.
- Ability to lift up to 50 lbs.
- Preferred: forklift or pallet mover certification.
- Able to work frequently in a cold room maintained at 2–8°C (35.6–46.4°F).
