Location: Preston, PR1-2PD                                                                                                                        Monday-Friday 9am-5pm                                                                                                                                   Pay rate: £12.71ph

Our Client is hiring for an Admin Officer, and you’ll play a vital role in keeping people on probation and the wider case process on track.


What you'll be doing:
• Set up and maintain accurate records for people on probation and victim information on approved databases
• Support the referral process by helping coordinate relationships between offender management, victims, interventions, service providers and external agencies
• Prepare, maintain and collate case records, files and management information to required standards
• Receive and distribute information and communications by telephone, paper and email
• Provide cover for an effective reception and telephone enquiry service
• Act as a single point of contact within the unit for your specialist area as required
• Make practical arrangements to support the implementation of the Sentence Plan (e.g. appointments and directions)
• Complete enforcement administration as needed, and maintain records for travel cost payments (including petty cash/vouchers/warrants where required)
• Ensure appropriate equipment, materials and facilities are available for case-related activities
• Report faulty equipment/materials to your manager and arrange replacement/repair as agreed
• Undertake specific Visor administration tasks in line with procedures
• Support meetings as required, including organising agenda and sharing notes/minutes and action points
• Follow Health and Safety policies, including undertaking equipment tests as required
• Provide cover within the unit and to other units within the wider division as appropriate
• Carry out safeguarding children duties in line with statutory responsibilities and agency policies
• Reinforce pro-social behaviour and attitudes, while challenging anti-social behaviour and attitudes
• Be committed to equality and inclusion in everything you do


What you'll bring:
• Confidence using databases, plus strong keyboard and IT skills
• Proficiency in MS Office Word, and basic skills in Excel
• Strong verbal and written communication skills, able to communicate effectively with a wide range of individuals
• The ability to work on your own initiative and manage your workload efficiently within timescales
• The ability to deal fairly and effectively with people on probation, including those who may be in crisis, distressed, or may display inappropriate or aggressive behaviour
• A commitment to maintaining the sensitive/confidential nature of the information you handle
• Ability to fulfil spoken aspects of the role with confidence through the medium of English


Additional information:
• Some out-of-hours work may be required
• You’ll be expected to accept reasonable changes and additional tasks of a similar level as needed
• Ability to travel for safeguarding-related duties and cover may be required within the unit/division
