Background:

Defence Join Transition Authority (JTA) offers a broad range of programs and services to help Australian Defence Force members and their families manage the military way of life. JTA supports Defence families’ self-reliance and increases the capacity of the wider community to support the needs of Defence families.

 The Directorate of Transition Coaching and Support (TCS) sits within JTA and provides national support through a broad range of programs to ADF members and their families transitioning to civilian life. Transition support is delivered internally and through private providers and may include, but not be limited to vocational training, career coaching, workplace mentoring, job search preparation courses, seminars and forums.

 

About the Role:

As one of the Seminar Coordinators you will be responsible for providing high level business administrative services including understanding, responding to and resolving moderately complex enquiries whilst seeking guidance and advice on more complex issues.

You are a strong team player with demonstrated capabilities to plan, coordinate, manage and perform accurate data entry, information and records management.

 High level attention to detail, strong system and technologies aptitude and adaptability with a continuous improvement focus is vital to support ongoing efficiencies and improvements across seminar team business systems and processes.

Responsibilities

  • Communicate with, respond, and provide advice to a range of stakeholders relating to ADFT virtual and face to face seminars.
  • Assist with seeking quotes, venue bookings/contract management and invoices, coordinating catering and audio-visual requirements for face-to-face events.
  • Assist with planning, coordination, and facilitation of filming virtual presentations and JTA branding stills media shoots with our media service provider.
  • Assist and represent JTA at Canberra face to face ADF Member and Family Transition seminars
  • Draft high-quality resources and guidance materials for a range of stakeholders.
  • Contribute to group mailbox management including responding to moderately complex enquires.
  • Regular use of excel spreadsheets and Microsoft office products to track correspondence, accurately capture, quality assure and analyse data.
  • Regular use of Defence’s records management system ‘Objective’ including creating file structures and storing correspondence.
  • Management and maintenance of the Defence’s Human Resource Information Management system ‘PMKeyS’ to locate cross reference and confirm personal and sensitive information.
  • Contribute to the follow up and confirmation of virtual and face to face seminar non-attendance and administration requirements.

 

To succeed in the role, you will need:

  • Australian Citizen – this is a requirement of the role
  • AGSVA Baseline Security Clearance required or ability to obtain and uphold
  • Professional presentation and the ability to represent the organisation in a collaborative manner at events;
  • Proven ability to effectively communicate in writing and verbally, both in person and using a wide range of digital platforms;
  • Highly adaptable solutions focused self-starter with strong attention to detail and accuracy who performs well in dynamic fast paced deadline driven environments;
  • Excellent prioritisation, coordination and extensive business administration experience in customer centric environments
  • A current Australian Driver’s License.
  • An aptitude for systems
  • the ability to undertake some interstate travel that may be required to support interstate face to face seminars.
  • Previous Marketing experience highly advantageous
