Are you at your best when things need to run smoothly, and you can bring calm, professionalism and structure to busy, sensitive situations? Our Client is hiring for Admin officers, who will be the first point of contact-helping hearings progress efficiently while supporting colleagues and assisting court users with clarity and care.
What you'll be doing:
• Acting as a key first point of contact for court users before, during and after hearings
• Preparing court/hearing rooms, setting up for proceedings and clearing down at the end of the day
• Collecting and delivering files and bundles to the judiciary and clerks to ensure the right documents are in place
• Completing paperwork and standard forms, including straightforward drafting such as acknowledgements and receipting
• Handling post: opening, sorting, distributing and dispatching as required
• Supporting correspondence tasks, including using defined information to complete standard forms
• Operating recording equipment and maintaining accurate records of hearing recordings
• Sorting and delivering hearing lists for internal and external notice boards
• Using computers for day-to-day administration and completing clerical work (including switchboard use)
• Answering telephone calls and face-to-face enquiries, passing on messages and keeping people informed of changes (e.g., courtrooms and hearing times)
• Receiving parties to court-including members of the public, judiciary, juries, solicitors and barristers-providing information related to proceedings and escorting court users where needed
• Calling people into court in priority order, liaising with court clerks and legal advisers, and coordinating with the Witness Service as necessary
• Ensuring court rooms are stocked with the right stationery and forms, and distributing stationery around the office
• Carrying out general clerical and support duties to help the service run efficiently
What you'll bring:
• Confidence dealing with people from all walks of life, with professionalism and sensitivity-especially when individuals may be vulnerable or under stress
• The ability to react quickly and appropriately to situations, including unexpected developments, while following established guidelines and instructions
• A calm, organised approach to busy environments, with a willingness to take ownership of your own time
• Comfort using computer systems at the level required for the role, alongside office and court equipment
• Strong communication skills for both face-to-face interactions and standard enquiries (telephone and in person)
• Practical attention to detail when recording information, checking accuracy/completeness, and completing documentation
