Hours: 36 hours per week, Monday to Friday (with specific daily timings provided)
Working pattern: Hybrid-2 days in the office
Pay rate: £14.99 per hour
Our Client is looking for Senior Clerical Officers to join a Maintenance team in Belfast. This is a key support role-where your day-to-day admin, secretarial skills and helpdesk responsiveness help keep operations moving smoothly. With a hybrid pattern (2 days in the office) and a Monday-Friday schedule, it’s a great opportunity to bring structure, calm and professionalism to a busy department.
What you'll be doing:
• Acting as an initial point of contact for internal and external stakeholders, including board clients and the general public
• Managing incoming and outgoing correspondence, drafting responses and forwarding to the right officer where needed
• Setting up and maintaining filing systems for the maintenance team
• Preparing, collating and formatting reports, memos, letters and confidential documents
• Designing and maintaining databases, spreadsheets and other working documents to support the team
• Preparing materials for the Maintenance Manager using relevant software packages
• Supporting procurement activity by completing preparation of quotations and tenders
• Operating the Help Desk: responding to calls/emails/faxes, ensuring communications are logged and actioned
• Operating helpdesk software, monitoring usage/performance and notifying Maintenance of actions required
• Keeping customers informed of progress for issues logged on the Help Desk
• Completing daily printing of works orders
• Contacting board contractors in line with helpdesk calls logged

• Strong administrative and secretarial capability, with confidence handling general and confidential correspondence
• A professional, customer-focused approach when dealing with queries from a wide range of people
• Competence with word processing and the ability to produce accurate documents and correspondence
• Comfort creating and maintaining spreadsheets, databases and structured records
• The ability to manage a busy workload and maintain a timely, organised helpdesk service
• A proactive mindset-logging communications correctly, following up, and keeping stakeholders updated
