Receptionist (Probation Service, Band 2)
Location: Swindon (Probation Office, Centenary House, 150 Victoria Road, Swindon, Wiltshire SN1 3UZ)
Working Days / Hours: 37 hours a week 9-5 only
Working Pattern: strictly office based
Pay Rate: £12.71ph

Our Client is hiring a Receptionist to be the friendly, professional first point of contact for visitors and telephone callers, while supporting day-to-day office activities across the Probation Service.
What you'll be doing:
• Acting as the first point of contact-greeting visitors professionally face-to-face and handling enquiries by telephone and email
• Logging arrivals and departures, issuing visitor passes and security fobs, and ensuring the right people are notified
• Using observation and situational awareness with tact and diplomacy-helping to diffuse potentially difficult situations and escalating where support is needed
• Answering basic enquiries about the Probation Service and local support services (referring more detailed questions to the appropriate manager)
• Managing building logistics such as mail handling, stationery/PPE ordering, delivery coordination, and meeting-room support (including event registration when required)
• Handling day-to-day petty cash/travel warrants, including collection and transport between Probation properties
• Supporting health and safety and security-including acting as key holder, operating physical security, assisting with fire/panic alarm testing, monitoring CCTV, and supporting evacuation arrangements
• Logging building faults and incidents and escalating maintenance needs based on urgency
• Providing confidential administrative support to operational teams when required-updating files, producing documents, scanning/archiving sensitive information, and inputting data using relevant systems

Additional information:
• This is a strictly office-based role, 37 hours per week, 9-5 only, with core hours that may include regular unsocial hours (evenings and/or weekends) based on business need
• Training will be provided for covering additional teams/functions during periods of absence
