Working at pace, keeping things organised, and supporting senior leaders where it matters most-this Temporary Personal Assistant/Secretary role offers high-level, diverse secretarial and administrative support for one or two key senior managers within the Major Rail Projects Group. You’ll be the trusted right hand to the Director for the Euston programme, while also helping the wider team and directorate stay on track.
What you'll be doing:
• Provide diverse, senior-level secretarial and administrative support using independent judgment and discretion
• Build strong, open, collaborative relationships with your Director and Deputy Directors to understand priorities and working preferences
• Manage diary and inbox for the Euston Director-proactively and reactively managing complex, changing events and anticipating next steps
• Plan ahead, take initiative to resolve pressures, and manage conflicting demands to meet tight deadlines
• Organise (and sometimes chair) meetings for the senior leadership team: set dates, arrange rooms, plan agendas, coordinate papers, take minutes, track actions, and maintain action logs
• Prepare for forthcoming committees and Board meetings by ensuring papers and briefing materials are received in time for discussion and updates ahead of meetings
• Book travel and accommodation well in advance, ensuring value for money and using the most effective transport options
• Support wider business management needs, including recruitment campaign administration, tracking workforce changes, administering reward processes, arranging building passes, and supporting IT requests
• Lead on Group finance activities: oversee finance requisitioners to help ensure prompt invoice payment and resolve payment issues
• Help meet financial reporting obligations for the Group, providing updates and analysis on administration budgets
• Provide flexible ad hoc support across the directorate and group when needed
