Brook Street Recruitment is working with our Belfast city centre client to recruit a Receptionist.
Purpose of the Role
To act as the first point of contact for all visitors and staff entering the Belfast office, ensuring every interaction reflects the organisation's high standards of professionalism and service. This role supports the smooth running of Reception by managing switchboard activity, providing administrative support, and delivering a consistently welcoming and professional experience for visitors and colleagues alike.
Key Responsibilities
Reception & Visitor Experience
- Welcome all visitors with professionalism and warmth, ensuring a positive first impression.
- Manage visitor sign-in procedures and ensure guests are collected promptly from Reception.
- Maintain a clean, organised and professional Reception area, working closely with Security, Facilities and the Office Manager.
- Ensure visitors are comfortable and offered refreshments where appropriate.
- Act as a friendly and approachable point of contact for employees, clients and visitors.
Switchboard & Communication
- Serve as the first point of telephone contact, delivering excellent customer service in every interaction.
- Answer, screen and direct incoming calls efficiently to the appropriate individuals or departments.
- Handle enquiries professionally and confidentially, taking initiative to resolve issues where appropriate.
- Ensure messages are recorded accurately and passed on promptly.
Meeting Room & Facilities Support
- Manage meeting room bookings and coordinate schedules to avoid conflicts.
- Ensure meeting rooms are well-presented, fully equipped and prepared for meetings.
- Liaise with Facilities regarding room maintenance, equipment requirements and any issues affecting office operations or the visitor experience.
- Support the smooth running of meetings and events as required.
Administrative Support
- Provide general administrative assistance to support business operations.
- Copy, scan, collate and distribute documentation as required.
- Manage incoming and outgoing post, courier services and deliveries, ensuring deadlines are met.
- Maintain and organise shared kitchen and refreshment areas to a high standard.
- Prepare and bind contracts, presentations and other business documents.
- Assist with ad hoc administrative projects and office tasks as required.
