Materials Administrator

Brook Street Recruitment is delighted to be recruiting on behalf of our Belfast-based client for a Materials Controller / Materials Administrator to join their growing team on a full-time, permanent basis.

This is an excellent opportunity for a highly organised and analytical professional who enjoys working with data, forecasting, inventory management, and customer accounts. Strong Excel skills are essential, as you'll be responsible for analysing forecasts, monitoring stock performance, producing reports, and supporting key business decisions.

The Role

Reporting to the Lead Material Planner, you will play a key role in managing customer contracts, forecasting demand, maintaining inventory levels, and ensuring materials are available to meet customer requirements. You'll work closely with customers, suppliers, purchasing teams, and internal stakeholders to deliver an exceptional service.

Key Responsibilities

Inventory & Forecasting

  • Process and analyse customer forecasts using Excel.
  • Monitor stock levels and compare forecasted demand against actual usage.
  • Identify trends, discrepancies, and slow-moving inventory.
  • Ensure inventory levels align with customer demand and contractual commitments.
  • Proactively resolve supply and stock availability issues.

Supply Chain & Customer Support

  • Manage customer orders and provide regular progress updates.
  • Track supplier deliveries and communicate potential delays.
  • Obtain supplier quotations and pricing information.
  • Respond to customer enquiries and maintain strong client relationships.
  • Attend customer meetings when required.

Reporting & Analysis

  • Produce accurate reports and KPI data for internal and external stakeholders.
  • Analyse delivery performance and inventory trends.
  • Support month-end reporting activities.
  • Maintain customer pricing and product databases.
  • Use Excel to manipulate, analyse, and present data effectively.

Essential Criteria

Proficient in Microsoft Excel
Numerically minded with excellent attention to detail
Organised and capable of managing multiple priorities
Comfortable working independently and meeting deadlines
Customer-focused with strong communication skills
Commercially aware and confident building relationships with customers and suppliers
Experienced using Microsoft Office and business systems/CRM platforms

Essential Requirements

  • GCSEs/A-Levels (or equivalent).
  • Strong Excel skills are essential.
  • Excellent analytical and problem-solving abilities.
  • Strong IT, organisational, and reporting skills.
  • Ability to work accurately in a fast-paced environment.
