The Role:
You will be the go-to person between HQ and venues for internal communications; to ensure all of the pre-booked events are communicated to the operations team for each of our venues accurately and timely, according to the team's KPl's. You will be responsible to upsell smaller enquiries to food and drink packages and assist the management team with ad hoc administrative tasks.
You will be the point of contact for all venue handovers, updating venues with changes and managing your own bookings which you convert to create an unforgettable experience for all guests
• Upload all new enquiries into Collins
• You will be responsible for compiling and distributing daily handovers to each venue
• Answering calls, taking messages for the sales team and communicating new enquiries using Collins
• You will communicate messages from the voicemail box to the relevant team member
• Transfer all same day bookings to our in-venue technology system
• Supporting the sales team issuing invoices and sending payment requests, and other administrative tasks when necessary
• Ensure that all bookings have been pre-paid
• Ensure all bookings have a pre-order and dietary requirements confirmed
• Manage the venue diaries to ensure all venues stay at/under capacity, check all future pre-booked events and ensure the venues get the details they need every day to run the venue
• Upselling to current online bookings to add on pre-booked drinks/food packages
• Maintain a high level of customer service and increase guest satisfaction
• Ensuring all pre-booked events are in line with company policy
• Assist with the business development team with outreach/offers - either in person or from the office
• Occasionally conduct proactive sales, targeting UK businesses with a view to promote and pro-actively sell venue event services
• Attend networking events and showcases, promoting the brand and obtaining new leads
