Administrative Assistant (1322BR) Houston, Texas

PURPOSE OF POSITION:
Responsible for the handling of day-to-day administrative responsibilities in the   office, with priorities to Finance Department.

MAJOR RESPONSIBILITIES:
Answer and screen telephone calls for proper distribution.
This would typically involve asking the appropriate questions to insure that the request is directed to the proper individual for handling.
 
Handle A/R & A/P by creating invoices, inputting bills, mailing checks and Invoices and proper filing of hard copies.
 
Assist Manager of Finance with monthly reporting to parent organization.
 
Verify employee expense reports are submitted in proper format with supporting receipts. Input into system and created payment after approval.
 
Update Customer, Vendor, & Inventory records within system.
 
Provide support to Inside Sales & Project Departments with
regards to equipment documentation requirements.
 
Coordinate the schedules, logistics & support for trade shows   
and exhibitions that company attends.

Monitor and order all office supplies.
Education:
Associates Degree in Business related field, preferably accounting or finance.

Experience: 3-5 years’ experience min.

Other Skills/Knowledge/Experience: 
Strong communication/interpersonal skills - verbal and written. 
Strong computer skills - experience with Microsoft Office Suite. 
Experienced with corporate ERP and/or financial software required, preferably Intuit Quickbooks.
