Receptionist and Administrative Assistant

A great new opportunity at a market-leading investment consultancy has opened up for a Receptionist and Administrative Assistant. To be considered for the role as Receptionist you will need to be organized and be able to clearly communicate thoughts, ideas and instructions, verbally and in writing.

Receptionist key responsibilities:

•Maintaining the Central Diary, accepting all meeting requests and chasing discrepancies
•Responsible for monitoring meeting rooms
•Preparing all catering / hospitality staff for larger meetings
•Meeting and greeting visitors
•Operating the switchboard
•Booking couriers, taxis etc and maintaining an accurate record for invoicing purposes
•Sorting and distributing post upon its arrival.
•Responsible for all restaurant bookings
•Buy and wrap all internal gifts, cakes, organise and circulate cards
•Being a Fire Marshall & First Aider
•Office maintenance such as neatness and cleanliness of office, kitchen and toilets
•Minor daily upkeep such as changing light bulbs, checking supplies, closing doors
•With guidance from HR & Office Manager, primary contact for suppliers / repairs

Administration key responsibilities:

•Maintain the various corporate records and databases
•Maintain corporate invoice logs
•Responsible for running the Company’s off-site archiving
•Manage publication subscriptions
•To log all incoming emails that contain reports using the excel spreadsheet
•Provide admin support to investment and business development staff when requested
•Responsible for conference bookings
•Booking travel arrangements (Taxis, hotels, logistics etc)
•General ad-hoc Administrative duties and running errands as requested

The above list of duties is not extensive and the post holder will be required to undertake such tasks as may reasonably be expected within the scope of the role.

•Solid work experience in a similar role
•Flexible and adaptable to the changing requirements of the business
•Ability to work autonomously as well as part of a team
•Multi-tasker and organized
•Professional and friendly persona
•Possesses a positive ‘can-do’ attitude
•Ideally intermediate level Microsoft skills (Outlook, Excel, PPT, Word)
