The coordinator supports the Experienced Hires Recruitment team, working with the team to coordinate the interview process while maintaining strong relationships with candidates, hiring managers and divisional HR. The Coordinator will be responsible for providing candidates with complete, accurate and inspiring information about L’Oreal and the position they are applying for. This position requires an individual capable of making decisions in ambiguous situations. The Coordinator will interact with numerous managers, middle managers, and executives who posses different working styles.
Reports to AVP of Talent Recruitment.
·Post jobs on External Sites including setting up pre-screening questions, as directed
·Conduct searches on job boards
·Coordinate the scheduling of all candidate interviews and with Divisional HR and Hiring Managers and their teams
·Schedules the Search Strategy “kick off meeting” at the commencement of a new search
·Serve as liaison between out-of-town candidates and travel department in confirming cost effective yet convenient candidate travel (includes airfare, car service, etc.)
·Insure that all candidates interviewing with L’Oreal have completed an employment application, WOTC form, etc.
·Collect and process paperwork for candidate travel reimbursement
·Log Employee Referrals and distribute to appropriate recruiters
·Conduct reference checks for manager and below positions
·Prepare, send and track all offer letters, drug screen, benefits and other items in offer packet
·Serve as liaison for candidate background checks
·Maintain applicant tracking system and recruitment database (Kenexa and Encore)
·Participate in special projects
·Responsible for employee file maintenance
·May conduct phone screens, initial interviews, and reference checks
·Other duties may be assigned as needed
·Bachelor’s Degree required
·1-2 years Human Resources/Recruiting Coordinator experience preferred
·Minimum of 1-2 years within an office setting environment
·Ability to manage and prioritize multiple assignments
·Excellent written and verbal communication skills, interpersonal skills and planning skills
·Excellent problem-solving skills and sense of urgency in a fast paced work environment
·Computer skills, including Outlook, Word, Excel and Power Point required
·Ability to handle and maintain highly confidential and sensitive date and information on a regular basis
