Operations Specialist (Level II) Summary:

Signature Consultants is seeking an Operations Specialist for an opportunity in Jacksonville, FL. The team is broken into sub-teams where cross-training is practiced across the line of business. The Identification & Custody Team is responsible for identifying and taking custody through internal bulk transfer of accounts that qualify as abandoned—this involves in-depth research of all accounts in the Firm to identify any that meet the various criteria to be deemed “abandoned”. Once assets are in the department’s custody, this team is responsible for performing any necessary account maintenance. If the client claims an abandoned account, Identification and Custody is responsible for updating the client contact information and returning assets to the client’s lines of businesses. The Due Diligence Client Call Center Team is responsible for locating clients whose accounts are considered abandoned. In an attempt to reunite abandoned clients with their assets, the team conducts mail, email, and phone campaigns. The team is also responsible for fielding inbound phone calls from clients, processing documents, and responding to email inquiries from clients. The team conducts both proactive outreach and regulatory outreach dependent on specific State and territory laws.

Responsibilities:

  • Provide superior client service
  • Conduct research and outreach to reunite abandoned clients with their assets
  • Answer client calls and email inquiries while processing various assignments
  • Perform regular account maintenance, including document review, to ensure accuracy
  • Facilitate the transfer of assets into and out of abandoned property
  • Reconcile accounts in advance of reporting and remitting assets to State
  • Learn all departmental processes and being cognizant of downstream effects on other areas
  • Mitigate risk by identifying and proposing process improvements
  • Communicate (written and verbal) with various branch offices, clients, and/or State representatives

Qualifications:

  • Dedicated time-management skills in order to meet hard deadlines within a fast-paced environment
  • Excellent verbal and written communications skills
  • Aptitude to quickly learn and navigate multiple technology applications
  • Strong organizational skills as well as keen attention to detail
  • Professionalism in all situations
  • Drive to succeed both independently as well as in a collaborative team environment
  • Ability to resolve complex inquiries and situations
  • Background in Abandoned Property /Escheatment, supporting Merrill Lynch clients/lines of business or compliance, EPO or audit experience
  • Experience with complex spreadsheets, including familiarity with formulas, formatting, and data manipulation is a plus
  • Ability to work an 8 hour shift between 8:00am and 5:30pm Eastern, Monday through Friday
