Office Assistant

Office Assistant (BK3040) Malton, England

Castle Business Support are recruting for an Office Assistant based in the Malton area within the Charity sector.

The role will be providing support to the Office Manager. To be considered for the role previous personal assistant and administration experience is essential. You will be well organised and a self-motivator with excellent communication skills. You must have be able to use initiative, have a positive attitude to your work and have enthusiasm.

 

Duties:

 

  • Providing secretarial and administrative support to the Office Manager, including:
    • Answering the telephone and fielding a wide variety of calls
    • Screening and responding to incoming calls/emails – gauging urgency/unsolicited calls
    • Booking accommodation/travel/meetings
    • Make enquiries of meeting attendance and catering etc.
    • Typing
    • Opening and distributing post
    • Maintaining HR folders for centrally employed people, including records of annual leave and inventories of equipment

These key duties need to be prioritised efficiently to meet deadlines.

  • Undertaking projects for the Office Manager as required. The role regularly requires re-prioritising due to competing demands.

 

  • Setting up, maintaining and using databases particularly regarding mail-outs, plus knowledge and effective use ofMailChimp:
    • CVT Members
    • Residents
    • Next of kin for residents
    • Co-workers and employees

The last three of these involve collecting data via regular updates from all the centres.

  • Photocopying, collating, addressing and mailing – for all central employees, including central team, PR & HR.
  • Maintaining central phone grid including repairs, new contracts and upgrades in conjunction with Office Manager
  • Ensuring good supply of resources needed for the office and central employees to function effectively (stationary, laptops, phones etc.) in line with meetings scheduled.
  • Keep the office clean and tidy and dispose of rubbish regularly.
  • Acting as a point of contact for the Trust and directing enquiries to appropriate sources of information or advice; keeping a log of admission enquiries.
  • Filing and keeping securely documents, resources and materials; including Leavers Agreements pp HR.
  • Pre-employment procedures as required by HR Lead and SS including DBS checks.
  • IT – password resets on 365.

General Duties:

  • Maintain office files (both electronic and physical), maintain archive of back up data.
  • General administration: - deal with incoming post and telephone calls.

Maintain organised office setting to ensure welcoming and professional environment for visitors

 

 

Requirements:

  • Self-motivated and task focused possess strong communication skills
  • Good attention to detail and a high level of organisation.
  • Confident when working to your own deadlines as well as being able to support a team
  • Previous experience managing front of house and administration is essential as you will be required to work using own initiative.
  • High level of IT knowledge is also important as you will be responsible for inputting and updating internal systems and switchboard as well as managing
