Administrative Assistant - Dayton, OH

•Maintain calendars for key personnel and conference rooms, resolving schedule conflicts and disseminating all changes
•Receive incoming phone calls, route to appropriate party or document for further action
•Serve as branch timekeeper for government civilian personnel, maintain documentation tracking all time away from the job and forward to the Directorate level in a timely manner
•Use government database to document all information required to in-process and out-process all government and contractor personnel
•Support management and tracking of internal and external suspense tasks
•Prepare and maintain program documentation and briefing materials
•Coordinate arrangements, agendas, and briefing materials; record/track program action items and suspense's for events such as meetings, reviews, working groups, and audits
•Support the establishment and maintenance of official file plans using the Air Force Records Information Management System (AFRIMS)
•Assist in preparing travel arrangements and travel vouchers for stateside and overseas travel, using the Defense Tracking System (DTS)
•Facilitate the use of standardized automated forms (travel orders, performance reports, materials procurement, maintenance and disposition, as well as periodic or ad hoc reports)
•Distribute and transmit correspondence and incoming/outgoing mail
•Assist with the transmittal of time sensitive correspondence using overnight or express mail services
•Assist in obtaining publications and forms on the World Wide Web
•Order office supplies and perform inventory of current stock, gather requests for supplies, prepare/itemize supplies and equipment
•Collect and prepare draft materials for staff meetings
•Provide support to the Video Teleconferencing (VTC) manager
•Assist in retrieving data/information from program databases in the form of queries and reports
•Support the maintenance of tracking systems for identification of deficiencies and Government defined corrective actions/closure requirements
•Provide advisory assistance and draft documentation support for the preparation of various documentation for government review and approval and the establishment/maintenance of Operating Instruction (OIs)

Qualifications:
•Ten (10) years of administrative support experience required
•Experience in the use of the Air Force Records Information Management System (AFRIMS), the Defense Tracking System (DTS) and Senior Officer Communication and Coordination Electronic Resource (SOCCER)
•Proficient in MS Office tools (Word, Excel, PowerPoint, SharePoint) and Lotus Note/Forms
•Active Secret Clearance Required
