Sr. Administrative Assistant (PCK333-237235) Indianapolis, Indiana

The Administrative Assistant Senior will perform full administrative support for the Vice Presidents of Organ Transplant and Medical Management, and Zonal VP of Underwriting in the Indianapolis office, as well as the Vice President of Product Management / Stop Loss in Neptune, NJ. Duties include various internal processes, office supply and inventory ordering and scheduling, travel arrangements, expense reports and report generation. Will also provide support in dealing with confidential and/or sensitive situations demanding good judgment and discretion. This position will requires extensive Microsoft Office capabilities including Excel, address merging and sorting, powerpoint creation among other computer skills as well as working knowledge of typical office machinery (printers, fax, copiers, powerpoint projectors and video conferencing). It also includes interaction and scheduling of office vendors and other external support entities.

- Manage and perform advanced, diversified, and confidential administrative duties for Product Vice Presidents of Organ Transplant and Stop Loss, Zonal VP of Underwriting and Chief Medical Management Officer.
- Manage a calendar to accommodate shifting priorities of Indianapolis Senior Management Team.
- Manage and arrange appointments and travel for Indianapolis senior staff, VP Stop Loss Product Manager, and VP Captive Product Manager.
- Prepare expense reports and ensure submission in a timely fashion for above.
- Prepare notices and general support of medical management team.
- Organize and maintain electronic files and other records so that they are easily accessible.
- Set up conference calls, webinars and video conference meetings.
- Prepare inside and outside meetings, securing meeting space, and arranging for food and audio visual equipment.
- Monitor deadlines to ensure all tasks are implemented as stated within established timeframes.
- Contribution to Compliance & Risk Awareness.
- Demonstrate & support understanding of, adherence to and communication of corporate/administration compliance standards.
- Perform additional tasks as assigned by supervisor, Vice President of Organ Transplant Management
- Facility Management – coordinate and supervise the office maintenance services, vendor management, maintenance of furniture and equipment inventory, and ordering of office supplies, assuring a timeliness and quality of service
- Invoices – prepare payment requests for vendors and process for approvals
- Manage mail, policy print, reception, records retention and file room process.
- Prepare and update time sensitive Power Point presentations.
- Collect information for preparation of meeting notes, ad hoc, monthly or annual reports.

- Business degree and / or Insurance experience recommended.
- Prior Administrative Assistant experience (2 to 5 yrs) for manager level.
- Advanced level knowledge of Microsoft Office, including working knowledge of PowerPoint.
- Advanced experience planning, coordinating and executing complex domestic and international travel arrangements.
- Strong interpersonal skills, professional image, and work ethic.
- Excellent written and verbal communication skills.
- Excellent organizational skills to manage multiple projects, ability to work independently, handle multiple tasks simultaneously, and manage one’s own time appropriately given ever changing priorities.
