HR Assistant

HR Assistant (DP S01) Coleshill, England

Salary: large company benefits, 25 days hol

 

Involvement in Recruitment and Selection for permanent positions to include requisitions are authorised, placing adverts (internal / external), liaising with HR Manager / Director to ensure the recruitment section on the web site is updated, liaising with recruitment agencies, raising purchase orders, arranging interviews, carrying out ‘PPA’ profiling as and when necessary, sending out offer letters & contracts.

 

Ensure all necessary paperwork for New Starters is returned, employment references are requested,

co-ordinate H&S and Quality Inductions. Carry out HR Inductions.  Send all relevant documents to payroll for processing and ensure all paperwork is scanned onto HR system.

Responsible for monitoring Time and Attendance and absence levels / liaising with Managers and Supervisors and agree any appropriate course of action i.e. disciplinary / O.H. assessment etc. Assist with carrying out Return to Work Interviews and Counselling sessions, as and when necessary.

Deal with Long Term Sickness Absence in accordance with Company procedures and review status on an ongoing basis / Carry out home visits if necessary / request Doctors’ reports / Liaise with Occupational Health Nurse as and when necessary.

Managing the Disciplinary Procedure to include, investigations, arranging disciplinary meetings - at all stages, and giving guidance on disciplinary sanction options in accordance with Company guidelines and precedents. Arrange Appeal hearings. Produce all necessary notes and letters pertaining to the above. Liaise with Company Legal Advisers to inform of relevant matters and to seek advice and guidance as and where necessary relating to issues that may result in dismissal.

Liaise with Managers & Supervisors to deal with employee Grievances in line with Company procedures.

Dealing with general day to day HR issues to include:- Maternity / Paternity / Retirement / Holidays / Extended Leave / Flexible Working Requests / Contract changes / Rate changes /  Probationary Reviews / Reference requests / Internal transfers & Job Descriptions / Redundancy situations / liaison with Payroll Officer.

Deal with employee welfare issues as and when required.

General updating of employees records and database files 

Arrange / prepare for bi-weekly HR review meeting with Operations Manager / Director following a set agenda.  Type minutes, distribute to relevant parties and deal with any matters arising.

Attend and support monthly Union meetings with Operations Director, type minutes and deal with any matters arising.

Provide written report on a monthly basis to HR Manager detailing agreed information.

Temporary Labour:- Ensure requisitions in place, liaise with agency, check rate agreed, organise interviews if necessary  / arrange for inductions to take place / update Temp Labour spread sheet.

Auditing of HR documentation / files for compliance with legislation requirements as and when required.

Liaise daily with HR Manager and HR Director as and when required to inform and update on issues at each site.
