Administration Assistant (Temporary) (TEMPADMIN-01) Gravesend, England

RMS – Resource Management Solutions are currently recruiting an Administration Assistant on behalf of our client, a Global Shipping organisation to be based in the Dartford area. A temporary (6 month) position, this is an excellent opportunity to join a global leader in their field of expertise.

Contracted to work 9am – 5pm Monday – Friday you will be reporting directly to the Marine Superintendent. Working as an integral part of the team you will provide efficient administration and operational support to the technical and marine departments.

Day to Day duties will include, but are not limited to:

  • To receive orders from the customer, organising the scheduling and logistics of fleet in order to ensure most efficient use of assets to deliver optimum service
  • Assist with Technical & Marine matters on a day to day basis and update the required databases.
  • Dealing with calls and queries over the phone, email and face to face.
  • Filing and updating of correspondence, electronically and paper based.
  • Manage the new joiner and induction process in conjunction with HR for permanent and casual crew members.
  • Assist in the completion of the crew payrolls liaising with crew and payroll bureau in line with required deadlines and payroll procedures. Record all crew and office absences (leave, sickness, training etc.)
  • Assist to maintain the crew’s personnel files both electronically (HR Database) and paper files ensuring staff records and certification are updated in line with current legislation.
  • Assist in the process when required to input all operational invoice information into sales database to keep an accurate record of work performed, and to facilitate efficient production of sales invoices.
  • Collating information and preparing reports for the Operation as required.
  • Taking, producing and distributing of meeting minutes when required.
  • Dealing with crewing/rota issues in manager’s absence.
  • Using purchasing system to place orders and requisitions from crew members to the correct suppliers.
  • Responsible for delivery/collection of paperwork and technical/ deck items/stores to and from the office to/from the tugs throughout each day as required.
  • Arranging customer/client and staff events when required.
  • Covering the Full-Time Administration Assistant when on holiday or as required
  • Any other adhoc duties as requested.

To be considered for this position you will have a minimum of 2 years Administration experience as well as:

  • 5 GCSE’s at grade C or above including Maths and English or equivalent
  • Proficient in MS Office is essential
  • As part of the role you will be required to travel within the UK and other global locations.
