Executive Assistant (3163) New York, New York

Salary: USD55000 - USD65000 per year

Provides administrative support to Chief Executive Officer (CEO) and Chief Financial Officer (CFO) to ensure efficiency and effectiveness of executive processes.

Essential Duties and Responsibilities

Executive (CEO and CFO) Administrative Support

  • Organizes and prioritizes tasks to facilitate tactical and strategic operation of company; coordinates flow of tasks between Logicalis Executives.
  • Provides leadership to build relationships crucial to success of organization and manages variety of special projects which may have organizational impact.
  • Completes critical aspects of deliverables with hands-on approach; drafts acknowledgement letters, personal correspondence, and other tasks that facilitate Executive’s ability to effectively lead company.
  • Keeps Executives informed of upcoming commitments and responsibilities and follows up appropriately. Acts as "barometer," having sense for issues taking place in environment and provides updates.
  • Coordinates administrative aspects of projects; creates presentations using Word, Excel, and PowerPoint; keeps track of request deadlines and prepares required preliminary work.
  • Provides complex calendar management including planning, scheduling, and coordinating meetings and conference calls as well as reserving and preparing facilities for such events.
  • Responds to email correspondence; maintains distribution lists for effective email communication.
  • Builds and maintains strong relationships with Logicalis Business Partners.
Executive Board Support and Liaison

  • Serves as administrative liaison to Logicalis Executive Board.
  • Assists Board members with travel arrangements, lodging, and overall planning as needed.
  • Maintains discretion and confidentiality in relationships with Board members.
Senior Management Liaison

  • Participates as adjunct member of Executive Team; assists in scheduling meetings and attends certain executive meetings.
  • Assists in coordinating agenda of senior management team meetings, off-sites, and all staff meetings.
  • Facilitates cross-divisional coordination of travel and outreach plans.
Office Administration

  • Manages administrative operation of office facilities.
  • Maintains security access to office; registers identification badges for new employees and sets up building security access for guests.
  • Orders and maintains office supplies.
  • Welcomes on-site visitors and directs to appropriate area or person; arranges for refreshments for meetings.
  • Sorts and routes mail; prepares and mails express delivery packages.
  • Provides phone support.

  • Demonstrates and actively promotes an understanding and commitment to the mission of Logicalis through performing behaviors consistent with the organization's values.
  • Maintains a working knowledge of applicable Federal, State, and Local laws and regulations as well as policies and procedures of Logicalis in order to ensure adherence in a manner that reflects honest, ethical and professional behaviors.
  • Supports and conducts self in a manner consistent with customer service expectations.

Education and/or Experience


  • Bachelor’s Degree in a related field.

  • 10 years experience in a related area.
May consider an equivalent combination of education and experience.
