Administrative Associate IV (50543947) Stamford, Connecticut

This position provides administrative support to two Associate General Counsels and a Sr. Assistant General Counsel. The responsibilities of this position include but are not limited to, the following:

Route and process requests for contracts and material review items in a timely manner.

Support/Maintain trademarks database.

Assist two Associate General Counsels and a Senior Assistant General Counsel in their work related to business objectives, CIA/compliance, contracts, and material review issues by addressing daily tasks and work requests.

Maintain supervisor's calendar.

Plan all travel arrangements.

Prepare and submit all Expense Reports. This includes maintaining supervisor's American Express and Data Basics expense accounts.

Prepare proper room and equipment setup as applicable for meeting/training sessions.

Receive and screen telephone calls, letters, and/or visitors. Assist with filtering/handling inquiries where appropriate when supervisor is traveling.

Route or answer routine correspondence not requiring principal's attention.

Develop, organize, and maintain document management and filing systems. This includes, but is not limited to, electronic and paper files, monthly reports on files, folder names, and archiving. This may also require follow-up on outstanding items in a timely manner.

Format, proof and assemble documents, often of a highly technical and/or confidential nature.

Organize and expedite flow of work through supervisor's office. Initiate follow-up action, as required.

Provide back-up administrative support to other Administrative Support personnel within Department as needed.

Prepare and/or format complex documents with in Microsoft Word and Excel.

Educational Requirements

Associate's Degree preferred.

Required Experience & Technical Requirements

Technical Skills: Advanced Microsoft Office (Word/Excel, PowerPoint) Outlook, and other office programs, as applicable.

Experience: Incumbent must have at least 8 years relevant office experience with 4 years healthcare/pharmaceutical experience preferred.
