PT PA/Team Secretary
We have a fantastic opportunity for an exceptional PA/Team secretary with solid team support experience looking for the perfect part time role in Investment Banking based in the City.
You will be a fearless gate keeper and lynch pin for the department with superb multitasking abilities and a confident ‘can-do’ attitude. Our client is looking for someone to support 5 Officers with full diary management, coordination of business travel (incl overseas travel, visas, itineraries etc), expense management as well as support to the wider team. This is a role for someone with the initiative to get stuck in and handle things proactively! This is a role with minimal supervision so attention to detail is essential!
This is an ongoing role starting ASAP, paying £13-£15ph, working 30 hours a week with flexibility on days and hours.
They key responsibilities of the role are as follows:
Assistant Support
• Full diary management for 5 Officers
• Co-ordination of large / complicated meetings for non-officers
• Officer phone coverage
• Meeting room and VC bookings
• Conference catering bookings
• Mail distribution / collection
• Secretarial support for visiting out of region officers
Administrative Support
• Central point of contact for the department
• Business Travel Management – bookings, itineraries, currency collections/returns, visas, car bookings
• Expense Management
• Manage print room requests
• Courier bookings
• Maintain department organisational charts
• Maintain holiday register
• Escalation for department IT issues
• Invoicing processing
• Mail group creation and maintenance
Office Management
• Assume Floor co-coordinator role – the main point of contact for desk moves and fabrics related issues
• Process New Starters/Leavers – assume full responsibility for on boarding and induction of new joiners and the off boarding of leavers
• Maintain Department Stationary Cupboard
• Office Equipment ordering
• Management of the maintenance and archiving of departments electronic and physical records
Key Skills:
• Good knowledge of all Microsoft Office programmes: Excel, PowerPoint, Outlook, Word
• Experience working in a support role within a globally focused Investment Banking team.
• Experience of supporting a busy Investment Banking team – who have extensive travel commitments that change to reflect client needs.
