This role falls within a progressive federal agency situated in the heart of Melbourne’s CBD.

As an Executive Assistant you will be influencing and shaping their executives’ priorities for the day, including managing meetings, appointments, correspondence, travel, briefs and submissions. As central contributor, you will provide exceptional organisational, prioritisation and communication skills.

                                                                                                

The Role:

  • Support two General Managers and coordinate the administrative functions and operations of their work place
  • Manage complex and changing diaries, including scheduling and organising meeting and arranging documentation;
  • Manage extensive travel arrangements and logistics
  • Prepare correspondence and prepare briefing packs, reports and papers;
  • An ability to anticipate stakeholder needs, both internally and externally, coupled with the ability to use initiative, discretion and maintain a high level of confidentiality;
  • Maintain systems for recording and storing information.
  • Coordinate effective meetings by organising and collating meeting agendas, providing confidential minute taking and distribution and coordinating follow up actions. This includes room bookings and equipment set up such as video and teleconferencing, catering and refreshments.

 

About you:  

To be successful in this role you will have experience as a high level administrator, with the ability to pay attention to detail, maintain a flexible and resourceful approach to effectively multi-task and manage workload. You will exhibit an enthusiastic and can do attitude with a proven track record of acting with confidentiality and professionalism. You will have exceptional stakeholder management skills and well-developed oral and written communication.

In addition, you will have demonstrated resilience and proven capacity to work in a fast paced and often high pressure environment with limited supervision.
